Turn a PDF Schedule Into Calendar Events

Many schedules arrive as a PDF: a sports season, a class timetable, a conference program, a list of tour dates. A muse can read the whole file, pull out every date, time, and place, and turn each line into a calendar event, so the schedule ends up where your reminders already live.

What it does

You hand the muse the PDF and say which calendar the events belong on. It reads the document and finds the entries that carry a date: the event name, the day, the start time, and the location when the file lists one. Instead of typing each one in by hand, which is where dates get dropped or copied wrong, you get the full set built in one pass. Before anything is saved, the muse can show you the list it found, in plain order, so you can spot a missing event or wrong time while fixing is still easy. Once you approve the list, it creates the events and confirms what was added.

How to use it

1. Save the schedule as a PDF. A file with real text works better than a photo of a printed page.
2. Send it to the muse and name the calendar, especially if you keep separate calendars for work and home.
3. Ask to see the found events as a list first, before any are created.
4. Check the first few entries and the last one against the PDF yourself. Ends of lists are where entries get missed.
5. Approve the list, and ask the muse to add a reminder, such as an hour before each event, if you want one.

What to watch for

• The calendar can only be as right as the file. If the PDF lists times with no time zone and the events are in another town, say the zone before the events are made.
• Watch for events that repeat weekly but change rooms or times partway through, since a pattern that looks regular on page one may not stay regular.
• Scanned or blurry PDFs can be misread, so check the created events against the original once.
• If the schedule changes later, the calendar will not know on its own. Send the updated file or name the changed date, and have the old entry removed so you do not keep both. The muse does the typing, you decide the list is right.
