Let the Muse Clean Up Your Project Board While You Are Away

Verified 2026-10-19

A muse can take over your project board for a set stretch of time, tidy the projects, map out the content or work ideas sitting in them, remove old clients and dead leads from the active lists, and rebuild a worn-out template, then report what it changed so you can undo anything you dislike.

What it does

Project boards drift. Finished work stays open, old contacts keep showing up in active lists, and the template you copy for every new job slowly fills with steps that no longer apply. A muse with access to your board can do the tidying pass in one go: close or archive what is done, group loose tasks under clear projects, pull out the ideas worth keeping, take former clients and dead leads out of the active rotation, and rebuild your standard template so the next job starts clean. The value is not the tidying itself. It is coming back to a board that matches how your work actually looks now.

How to use it

  1. Tell the muse which board or workspace it may touch, and which projects are off limits.
  2. Set the rules in plain words: what counts as done, how old a lead must be to count as dead, what stays active.
  3. Ask for a change list before it edits anything big, such as archiving a project or removing a client.
  4. Let it run while you are busy elsewhere, and check the summary when you are back.
  5. Review the rebuilt template on one real task before you trust it for the next job.
  6. Ask it to restore anything it moved that you still need, while the change list is fresh.

What you need

  • A muse connected to the project board or task app you use
  • Clear rules for done, active, and dead items
  • A backup or export of the board, if the app offers one

What to watch for

  • Tidying rules that sound clear can still catch live work, such as a quiet client who is about to return.
  • Keep the off-limits list short and specific, and approve removals in a batch rather than one by one.
  • If the app has no undo, have the muse archive instead of delete, so nothing is gone for good.
