Chase the Invoices Customers Have Not Paid

Verified 2026-10-13

A muse can find every customer or partner with an unpaid invoice, send each one a polite chase email, and keep following up on a schedule you set until the money moves or you tell it to stop.

What it does

Late payment is rarely about refusal. An invoice lands in a busy inbox, gets buried, and stays buried until someone asks about it, and asking is the job small business owners put off because it feels awkward and eats an afternoon. The muse can take that job over. It works from your invoice list and your email, matches each unpaid invoice to the right contact, and sends a short, firm reminder with the amount, the invoice number, and the date it was due. It can then follow up again after a set number of days if there is still no reply, and report who has paid, who has replied, and who has gone quiet. A full round of polite chases can get payments that have been stuck for weeks moving again, without you writing each email yourself.

How to use it

  1. Give your muse the list of unpaid invoices, from your accounting tool, a spreadsheet, or the invoices in your email.
  2. Set the tone in one line: friendly first chase, firmer second chase. The muse writes in the tone you set.
  3. Approve the first batch of emails before they send. Check names, amounts, and invoice numbers.
  4. Set the follow-up rule: how many days to wait, and how many chases to send before it hands the case back to you.
  5. Read the weekly report and take over any case where a real conversation is needed.

What you need

  • A muse account
  • Email connected so the muse can send from your address
  • A current list of unpaid invoices with contact details
  • Ten minutes to approve the first batch

What to watch for

Keep approvals on for sending until the wording has proved itself. Check the list before anything sends. An invoice marked unpaid in a spreadsheet may already be paid by bank transfer, and chasing a customer who has paid does real damage. Keep the tone you would use yourself, because the email comes from your address and your name. Some debts need a phone call or a payment plan, not a third reminder, so set a clear point where the muse stops and you step in. The muse chases, you decide how far it goes.
