Catalog and Reorganize a Drive Full of Thousands of Files

A muse can catalog every file in a very large cloud drive into a spreadsheet first, then sort the junk, reorganize the folders in the background, and check at the end that the work is complete, so a drive with tens of thousands of files becomes findable again.

What it does

A drive that has grown for years stops being useful. Files sit in thousands of folders and copies pile up. A muse can take the job in stages. First it makes a catalog: a spreadsheet listing the files and where each one lives. Then it picks out clear junk, such as old installers and exact copies, and moves that set to the trash for your review. Then it reorganizes the rest into a layout you agree on, in the background. At the end it checks its work, reports what moved, and clears out empty folders.

How to use it

1. Connect the drive and ask for the catalog only: "List my files and folders in a spreadsheet. Move nothing yet."
2. Read the catalog summary. Look at the biggest folders, the oldest files, and anything you do not recognize.
3. Agree the new layout in plain words: the top folders you want, and what belongs in each.
4. Approve the junk set as its own step. The muse should show the list and the reason each file counts as junk before anything moves to trash.
5. Let the reorganization run in the background, then read its completion report and spot-check a few files you know well.
6. Leave the trashed junk where it is until you have lived with the new layout for a while.

What to watch for

• Catalog first, always. Moving files before you have seen the full list is how a folder you needed ends up buried under a new name.
• Trash is not deletion, but it is on a clock. Many drives empty the trash after about 30 days, so do the spot checks soon after the run.
• Shared folders belong to other people too. Tell the muse to leave them out unless everyone who uses them agrees.
• A run this size takes time and works in the background. That is normal. Judge it by the completion report and your spot checks. The muse prepares and moves, you decide the layout and the junk.
